In most organisations, the individual systems work reasonably well. What does not work is everything that happens between them.
Someone exports a report from one system and pastes it into another. An order arrives by email and is typed into the ERP by hand. A team maintains a spreadsheet because the two applications that should talk to each other never have. Approvals sit in an inbox because there is no workflow. Month-end takes days because figures from four sources have to be reconciled before anyone can trust them.
None of this appears on a systems diagram, and none of it is anyone’s job. It is simply what the organisation does to keep going. It is also where a large amount of capacity, accuracy and speed is lost — and it is the most reliable place to start.

Automating a process makes it faster and considerably harder to change. That is a good reason to be sure the process is right before it is encoded.

Business Process Automation

Business process automation uses software to carry out steps a person is currently performing by hand — routing an approval, moving data between systems, generating a document, checking a record against a rule. What are digital transformation services?
Digital transformation services are the work of changing how a business operates by changing the technology underneath it — automating manual processes, connecting systems that do not currently share information, modernising applications that can no longer be maintained, and making operational data available for decisions.
It is distinct from simply replacing software, because the objective is a measurable change in how the organisation runs rather than a newer version of the same process.
What is business process automation?
Business process automation is the use of software to carry out steps in a process that a person is currently performing manually — routing an approval, moving data between two systems, generating a document, or checking a record against a rule.
The value comes from removing delay and transcription error, and from making the process consistent and auditable rather than dependent on who is doing it.
How do I know which processes to automate first?
Good first candidates are high volume, rules based and stable — the steps are well understood and rarely change. Poor first candidates are processes still being redesigned, processes that depend heavily on judgement, or processes that vary significantly case by case.
It is also worth redesigning a process before automating it. Automation makes whatever you encode considerably harder to change afterwards.
What does system integration involve?
System integration is connecting separate applications so information moves between them reliably and without manual re-entry.
It involves agreeing which system owns each piece of data, defining the interface and data mapping, deciding how often information moves and in which direction, and building error handling so failures are detected and can be replayed rather than passing unnoticed.
Do we have to replace our existing systems?
Often not. A meaningful share of the improvement available in most organisations comes from connecting and automating around systems that are already in place and working adequately.
Replacement is warranted when a platform genuinely cannot support the target process, or when it is out of support. Those are specific conditions, and worth testing before assuming them.
